We have received more than one nominee for the position of Chairman and more than 3 nominees for the position of Committee Members for the above three Sections. It would be necessary to conduct a postal ballot for the election of Chairman and Committee Members to solicit votes.

For the votes to be considered valid, Fellows must strictly adhere to the following:

1. Votes must be submitted using the enclosed official ballot cards carrying the Academy's official stamp and embossment.
2. Please ensure that only one(1) candidate is to be selected for the position of "Chairman" and three(3) candidates to be selected for the position of "Committee Member"
3. Every voting member shall submit no more than two(2) voting ballot slips, one for the position of "Chairman" and the other positions of "Committee Member" for each Section.
4. The completed ballots cards should be sent using the enclosed "business reply" envelope and should reach the Academy's main office no later than 5.30pm on Tuesday, 7 December 2004.

Failure to comply with the above instructions would result in the vote being disqualified.

The College Council would like to ascertain that voters are casting an anonymous ballot. The ballot cards are numbered for the purpose of tracking non-duplication of cards. All returned ballot cards in the sealed envelopes would be placed in a protected ballot box till the counting of votes takes place.

Two(2) College Councillors (who are not nominees, proposers and seconders) will be appointed as scrutineers of votes.
